Who controls your information
Workspacepilotbase is the controller for personal information collected through this website and during enquiries. Contact us at 40 Ballifeary Road, Balmerlawn, SO42 5RE or +44 029 2632 6529.
Information we collect
We may receive your name, work email, telephone number, organisation, enquiry details and correspondence. During an engagement we may also process project contacts, meeting notes, account access records and limited app analytics data supplied by the client. We ask clients to minimise or pseudonymise user-level information.
Why we use it
We use enquiry details to respond before entering a contract; client details to deliver and administer a contract; financial records to meet legal obligations; and limited business records for legitimate interests such as maintaining service quality, preventing misuse and establishing legal claims. Optional website analytics are used only with consent.
Who receives it
Information may be processed by carefully selected hosting, email, document, analytics and professional-service suppliers under appropriate agreements. We share information with authorities where legally required and with advisers when necessary to protect legal rights. We do not sell personal information.
International transfers
If a supplier processes information outside the UK, we use a lawful transfer safeguard where required, such as UK adequacy regulations or approved contractual clauses. You may ask for information about the relevant safeguard.
Retention and security
Unsuccessful enquiry records are generally retained for up to 18 months. Client project and tax records are generally kept for six years after the relationship ends. Some records may be kept longer where a dispute or legal duty requires it. We use access controls, multi-factor authentication where supported, minimisation and encrypted services to reduce risk.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or an objection to processing, and may withdraw consent at any time. A withdrawal does not affect earlier lawful processing. Contact us to exercise a right; we may need to verify your identity.
Complaints
Please contact us first so we can investigate. You may also complain to the UK Information Commissioner's Office at ico.org.uk.
Changes
We update this notice when our practices or legal duties change. The current revision date appears above.
